how to write a letter to send

I have a question, can help me?

I work for Sunshine Airways, I have just received a letter from a customer who says she had a terrible flight , that her bags did not arrive until two days later, and that one of her bags was broken . Write a letter to send by fax, apologising , and asking for further information so that I can arrange compensation. (Invent any details)

    Dear (Sunshine Airways Customer),

    Thank you for taking your precious time to communicate to us why our company had failed to meet your expectations. We are deeply sorry and embarrassed that you have such unpleasant experience with us. We have every desire to address your needs and provide solutions possibles as soon as possible if you can provide us the following information.

    1)Name/Address

    2)The value of her bag

    We will be in touch with you in 24/48 hours after you send back the information. Sunshine Airways will do our best to regain your confidence in our company and prevent similar situation from occur again in the future.

    Please accept our sincere apology for the inconvenience we had caused you and thank you again for taking your time to write to us. We look forward to hear from you soon and to assist you our compensation procedure.
